INTRODUCTION

An effective management is extremely important in all the contemporary organizations as it can lead the business to new heights of success. There are various management functions which include planning, organizing, staffing, leading, coordinating, controlling, directing, reporting and budgeting. These functions revolve around the idea of establishing the goals of the company and how to achieve them. The four most important functions are discussed in the subsequent paragraphs, which help an organization to have an effective management.

PLANNING

It is the most vital management function in any organization and determines how, when and what tasks need to be accomplished and what would be the cost incurred for it. Planning can be include strategizing a 2 hour long board meeting or a year plan for the company. It is basically laying out the goals and objectives of any organization and the ideals for how to execute any task. A system that is unplanned is equivalent to a lost and an ineffective strategy.

Planning can be generally classified as strategic, contingency, tactical, and managerial. Strategic planning is when the management determines the various goals of the organizational and ways to achieve them. Contingency planning is to anticipate the different issues that can happen while working on the goals and how to deal with them. (Marshall, 1992). Tactical planning is the planning that is used to implement the devised strategies. This is usually done by the middle level and the lower level management. Managerial planning is a micro level planning that helps in collecting and allocating resources to achieve the objectives of the organization.

As the applicant becomes a part of the company he needs to be know the objectives as well as the mission of the company, the degree of accountability, level of authority and nature of responsibilities given to him, and the procedures and systems to be followed to complete the tasks that are associated with his job. This can also be done by giving handbooks or manuals.

CONTROLLING

Controlling is another extremely vital function of management as it measures the achievement gained by the employees against the established goals and objectives. “Controlling is a systematic exercise which is called as a process of checking actual performance against the standards or plans with a view to ensure adequate progress and also recording such experience as is gained as a contribution to possible future needs,” according to Brech.

This process majorly consists of three steps which are establishing the various standards for performance, comparing the actual performance against the ideal standards and adopting the corrective actions whenever required. Performance standards can be laid out in monetary terms like costs, revenue, or even profits. It can also be laid out in other terms like the number of units produced, levels of quality, number of defective products, or customer service. Performance measurement can be done in multiple ways by including financial sales reports, statements, production results, formal performance appraisals, and customer satisfaction.

The process of controlling requires managers who can identify sources of deviation from fruitful achievement of goals and to provide the right course of action. These managers are in charge of establishing the objectives and later measuring their achievement. They also identify any possible problem that keeps the organization from achieving its goals and providing measures to correct them, if required.

Controlling does not only focus on achieving the monetary objectives and goals as it also relates to the non tangible motives as well. For instance, reducing customer complaints to a certain extent. For the managerial function of controlling, managers at different levels can engage to some degree. Even though, this process largely depends on different financial criteria, the managers are also responsible of controlling the operations processes, complying to the company policies, procedures for service delivery, and other activities that are included within the organization.
